Job description

To strengthen our team, we are looking for a committed individual who can impress with their organisational skills, communication skills, and attention to detail in both the front office and back office. As a Business Assistant, you will be the face of our Leipzig office and ensure that customers, guests, and colleagues feel welcome from the moment they arrive. At the same time, you will ensure that everything runs smoothly and that the working environment is optimally organized for the team.


As Business Assistant, you will be the first point of contact for visitors and play a key role in ensuring the office environment is welcoming and well-organised. Your tasks will include:

 

Front office: Reception & Communication

  • Welcoming guests

  • Maintaining office equipment, including coffee machine, beverages, and general tidiness

  • Processing incoming and outgoing mail and packages

  • Coordinating local service providers, e.g., cleaning, facility management, etc.

  • Supporting internal events and team-building activities (e.g. renting canoes for a team outing)

 

Back Office: Administrative Support

  • Assistance with back office tasks and administrative support

  • Support in payroll, HR administration and mobility

  • Support with invoice processing and orders

  • Collaboration on smaller projects and special tasks


As part of the global HR & Support team you are the good fairy (all genders) of our Leipzig office and make sure, that our Security Experts are able to fully focus on protecting our clients and ensure their Safe Digital Journey.

What can you expect from us?

Contract

First things first: You will get a permanent full-time (40 hrs) contract and 30 days of vacation. As Business Assistant we naturally need you in our office. That's why this position is an on-site job. You can organise your working hours freely within our office hours and according to the needs of the team.

Team

It is important to us to respect and value each other - as professionals and as people. The best way to get to know your 275+ colleagues from the Netherlands,Germany, Austria, Belgium and Sweden is to take part in one of our many activities, e.g. a trip to the theme park.

Equipment

You will be equipped with a modern MacBook and iPhone. We have height-adjustable desks in our offices and our CEO loves to kit us out with merchandise.

Mobility

You will receive a Deutschlandticket or a JobRad for your commute way. You decide for yourself.

No, the fruit basket in the office is not a benefit for us, but a matter of course - just like coffee, tea and lemonade. Provided, of course, that you take care of the order. ;-) 


Job requirements

The most important thing for us is that you fit into the team and are keen to help shape and advance Northwave. Of course, we also have a few technical requirements for this position.

You have experience in an office assistant role or similar. You should be familiar with common Microsoft Office applications and not be afraid to take over tasks. A hands-on mentality is, what we are looking for. You have an independent and structured way of working. You speak fluent German and English. And most importantly, you are enthusiastic about working with an inspiring crowd of cyber security enthusiasts. 

In a nutshell:

  • Completed commercial training or comparable qualification

  • Friendly, professional manner and strong service orientation

  • Structured, reliable, and independent way of working

  • Confident use of MS Office (Outlook, Word, Excel)

  • Very good German skills and English skills

  • Discretion, ability to work in a team, and organisational skills
